Privacy Policy Grouse Gardens & Property Maintenance Pty Ltd 1 Bondi Rd, Bondi Junction NSW 2022, Australia Email: ggapm.syd@gmail.com · Phone: +61 448 493 781 · Web: www.ggapm.com Effective date: 3 June 2026 1. About this policy Grouse Gardens & Property Maintenance Pty Ltd ("Grouse Gardens", "we", "us", "our") provides gardening and property maintenance services in Sydney's Eastern Suburbs. We respect your privacy and handle your personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). This policy explains what personal information we collect, how we use and protect it, and the choices you have. By using our website, submitting an enquiry or quote request, or engaging our services, you agree to the handling of your information as described here. 2. The personal information we collect Depending on how you interact with us, we may collect: Contact and identity details — your name, email address, phone number, and the suburb or postcode of the property. Enquiry details — the service you're interested in (gardening, property maintenance, or both) and any description of the work you provide. Service and account information — property access notes, job history, quotes, invoices and payment records. Website and device information — your IP address, browser type, pages visited, referring URLs, and similar analytics data collected through cookies and tracking technologies (see section 7). We do not collect sensitive information (such as health or financial-account information) except where you provide it voluntarily and it is reasonably necessary to deliver our services. 3. How we collect it We collect personal information: directly from you — when you complete a form on our website, submit a lead form on social media (for example a Facebook or Instagram instant form), call or email us, or request a quote; in the course of providing services — scheduling, on-site work and invoicing; automatically — through cookies and analytics tools when you visit our website (see section 7); and from third parties — such as advertising and lead-generation platforms (for example Meta) that pass on enquiries you have submitted. If you provide us with information about another person (for example a tenant or co-owner at a property), you confirm you are authorised to do so and that they are aware of this policy. 4. Why we collect and use your information We use your personal information to: respond to enquiries and prepare quotes; schedule, deliver, manage and invoice our services; communicate with you about your job, bookings and account; send you marketing and promotional messages where you have consented or where otherwise permitted by law (see section 5); improve our website, services and advertising; and meet our legal, tax and record-keeping obligations. 5. Marketing and electronic messages With your consent, or where otherwise permitted under the Spam Act 2003 (Cth), we may send you marketing communications by email or SMS about our services, seasonal offers and updates. Your consent to receive marketing messages is not a condition of obtaining a quote or service. Message frequency varies, and standard message and data rates from your mobile carrier may apply to SMS. You can opt out at any time — reply STOP to an SMS, use the unsubscribe link in an email, or email us at ggapm.syd@gmail.com. We will action opt-out requests promptly. Carriers are not liable for delayed or undelivered messages. If you change or transfer your mobile number, please reply STOP from the original number or notify us at ggapm.syd@gmail.com so we can update our records. 6. Who we share your information with We do not sell your personal information. We may disclose it to: Service providers and contractors who help us operate, such as our CRM and email platform (HubSpot), accounting system (Xero), and the subcontractors who carry out gardening, maintenance and marketing work on our behalf — only to the extent needed to do their job; Advertising and analytics platforms — including Meta (Facebook/Instagram), Google (Google Ads and Google Analytics) — to measure and improve our advertising (see section 7); Professional advisers and authorities where required or authorised by law; and Purchasers in the event we sell or restructure the business. We require our service providers to protect your information and to use it only for the purposes we have engaged them for. 7. Cookies, analytics and advertising Our website uses cookies and similar technologies to make the site work, understand how it is used, and measure the performance of our advertising. These include: Google Analytics (GA4) — website usage and performance analytics; Google Ads — conversion measurement and remarketing; Meta Pixel — conversion measurement and audience matching for Facebook and Instagram advertising. Where required, we use consent controls (Consent Mode) so that these technologies operate in line with your cookie choices. You can manage or disable cookies through your browser settings; some site features may not work properly if you do. These platforms may combine the information collected with data they hold for their own purposes, as described in their respective privacy policies. 8. Storage and security We take reasonable steps to protect your personal information from misuse, loss, and unauthorised access, modification or disclosure, including through access controls and using reputable third-party platforms. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. 9. Overseas disclosure Some of our service providers (for example HubSpot, Meta and Google) store and process data on servers located outside Australia, including in the United States. Where we disclose information to overseas recipients, we take reasonable steps to ensure it is handled consistently with the APPs. 10. Retention We keep personal information only for as long as needed for the purposes described in this policy, or as required by law (for example, tax and business records). When it is no longer required, we take reasonable steps to delete or de-identify it. 11. Access and correction You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete.
